The term “trip” as used in these booking terms and conditions refers to all itineraries described on this website, including those that may otherwise be referred to as holidays, retreats, adventures, walks, tours, treks, trips, sightseeing, climbing, mountaineering, expeditions, and any other services.
By booking a trip with us, you are deemed to have agreed to these Booking Conditions (which constitute the entire agreement between you and Black Diamond Expedition), and your booking will be accepted by us based on these terms.
In the following points, “company” refers to Black Diamond Expedition Pvt. Ltd, and “client” refers to the individual who has booked the trip.
Accurate passport details and other general information, including phone numbers and email addresses of all members of a group, must be provided to the company at least 30 days before the trip commences.
To confirm the booking, a client must pay a minimum of 20% of the trip price in advance. The trip price is guaranteed once we receive the advance payment. Subsequent changes (either increases or decreases) in the trip price will not affect the booked trip price. Thus, a client does not need to pay for any further increases in trip price and cannot claim a deduction for any subsequent decreases in trip price.
The remaining balance must be settled upon your arrival in Kathmandu, Nepal.
If a client cancels the trip one month before the start date, 10% of the trip price will be charged.
For cancellations made 15 to 29 days before the trip starts, 15% of the trip price will be charged.
For cancellations made 14 days before the trip start, 20% of the trip price will be charged.
A cancellation will only be effective upon receipt of written confirmation.
In the case of a major injury or death, we will fully refund the deposited amount upon receipt of legally certified documentation.
If you leave a trip for any reason after it has commenced, no refunds will be made for unused services.
You can postpone or amend a trip up to 15 days before the originally booked start date without incurring any extra charges.
If a flight ticket is included in the trip and requires amendment or cancellation, extra fees will apply, subject to the charges imposed by the respective airlines. Generally, flight tickets can only be amended up to 72 hours before departure.
In any transaction, whether initiated by the client or the company, the client will be responsible for transaction charges.
In certain circumstances such as natural disasters, terrorism, political instability, or other external events that render the planned trip unfeasible, we reserve the right to cancel the trip. In such cases, clients may reschedule the trip or receive a full refund. However, unrecoverable costs, such as third-party cancellation charges (hotels, transportation), ticket cancellations, equipment costs, etc., may apply. Different unrecoverable costs may apply to different trips, and our travel consultant will provide guidance in such cases.
Note: In some trips, there might be unrecoverable costs such as ticket cancellations, equipment, food, etc. If a client cancels such a trip, the refund will be calculated by deducting the higher of the minimum unrecoverable costs or the specified cancellation percentage. Different unrecoverable costs may apply to different trips, and our travel consultant will provide guidance accordingly.
